If youโ€™re wondering whether Microsoft Copilot is the right AI assistant for you, one of the first things to consider is how much Microsoft Copilot will cost you.

However, making heads or tails of Microsoft Copilot Pricing isnโ€™t all that easy, as Microsoft includes a solid range of separate products under its Copilot offering, each with different prices and terms of use.

The worst part is that all that information is dispersed across several sources, confusing prospective users.

To help you save time on research, I put together this detailed guide that aggregates all the Microsoft Copilot pricing info in one place, enabling you to make a well-informed decision without searching the web high and low for pricing data.

Thereโ€™s a bonus, too. If you decide that Microsoft Copilot isnโ€™t your deal, Iโ€™ll introduce another AI solution that will meet even the most demanding usersโ€™ requirements.

Microsoft Copilot Pricing Plans

When discussing Microsoft Copilot, you first need to understand the difference between Microsoft Copilot and Microsoft 365 Copilot.

The key difference between the two lies in their capabilities and use cases.

Microsoft Copilot is a generative AI assistant with a conversational interface that can perform simpler tasks. Its paid version can be used with some of Microsoftโ€™s free web apps.

Microsoft 365 Copilot, on the other hand, is a comprehensive AI assistant for work built into the entire Microsoft 365 suite that can also:

  • Be further customized.
  • Let you create bespoke AI agents for various use cases and integrate them into the apps you use.

But thatโ€™s not all.

Microsoft also has an AI product called Microsoft Copilot Studio, which lets you build customized AI agents. Access to Copilot Studio is included in the Microsoft 365 Copilot, but it can also be purchased as a separate product.

Finally, you should also note that Microsoft offers three standalone AI agents designed for specific purposes, which you can buy as separate products.

Now that we cleared that up, letโ€™s look at the pricing plans for each product:

  1. Microsoft Copilot:
  • Freemium.
  • Microsoft Copilot Pro: $20/user/month.
  1. Microsoft 365 Copilot:
  • Microsoft 365 Copilot for Business: $30/user/month ($31.50 paid monthly, but you still have to commit to at least a year of use).
  • Microsoft 365 Copilot for Enterprise: $30/user/month ($31.50 paid monthly, but you still have to commit to at least a year of use).
  1. Microsoft Copilot Studio:
  • $200 per month for 25,000 messages/month.
  • Pay-as-you-go that lets you pay only for what you actually use without any upfront commitment.ย
  1. Standalone agents:
  • Microsoft 365 Copilot for Sales: $50.00/user/month ($52.50 when billed monthly but still requires an annual commitment) or $20/user/month if you already have a Microsoft 365 Copilot subscription.
  • Microsoft 365 Copilot for Service: $50.00/user/month ($52.50 when billed monthly but still requires an annual commitment) or $20/user/month if you already have a Microsoft 365 Copilot subscription.
  • Microsoft 365 Copilot for Finance: Still in beta, allows signing up for a preview version.

Microsoft Copilot Freemium

Microsoft Copilot is an AI assistant built to help you boost your productivity and creativity by using it to:

  • Conduct quick research.
  • Provide answers and insights into various topics.
  • Brainstorm ideas.
  • Enhance language skills.
  • Have conversations.
  • And more.

It can be used on the web, Microsoft Edge, in Windows, and on mobile devices thanks to its mobile app. This way, users get Copilot access practically anywhere they need.

However, the free version is not without limitations, such as:

  1. It can only be used during non-peak times. Paid users have priority over non-paid ones, so you might not be able to use it every time you need it.
  2. Limited access to Copilot Voice that lets you have actual audio conversations in natural language with Copilot.
  3. 15 generated images per day.
  4. It canโ€™t be used in any Microsoft apps, not even the web ones.

So, while the free Microsoft Copilot certainly has its perks, its usage limits and limited features make it a solid choice only for individual users with very basic needs.

If you want to actually harness the power of AI, youโ€™ll need to purchase Copilot Pro or one of the Microsoft 365 Copilot plans.

Microsoft Copilot Pro

Microsoft Copilot Pro makes up for all the limitations of Microsoft Copilotโ€™s free plan.

Itโ€™s also aimed at individual users and costs $20 per user per month.

It also gives you a 1-month free trial to try it out.

Unlike the free version, Pro provides priority access to the latest models, meaning youโ€™ll be able to access them even during peak times.

Its other features include:

  • More usage of Copilot Voice.
  • Early access to new AI features.
  • 100 generated images per day.
  • It can be used in several select Microsoft web apps, such as Word, Excel, PowerPoint, OneNote, and Outlook.

Since it can be used with some of Microsoft’s online free products, Pro lets you handle more tasks than the free version, such as:

  1. Draft emails with the right tone, offer suggested replies, and summarize long threads in Outlook.
  2. Help you generate outlines, design and organize slides, and summarize long presentations in PowerPoint.
  3. Let you generate formulas, analyze and summarize data, and add helpful visuals to spreadsheets in Excel.
  4. Help you create news drafts, rewrite and edit text docs with ease, and quickly summarize complete documents in Word.

Note: Users who have Microsoft 365 Personal or Family subscriptions can use Copilot in the more fully featured desktop apps on Windows and MacOS.

However, if you want to use Microsoft Copilot with your entire Microsoft 365 suite, youโ€™ll have to subscribe to one of Microsoft 365 business plans.

Microsoft 365 Copilot for Business

Microsoft 365 Copilot for Business is built for companies with less than 300 employees.

It will cost you $30 per user per month if billed annually and $31.50 if billed monthly.

Keep in mind, though, that regardless of the billing frequency, youโ€™ll have to agree to a contract duration of at least 12 months.

If you opt for this plan, youโ€™ll get access to a wide range of features, including:

  • The ability to use Microsoft 365 Copilot in Microsoft 365 apps such as Word, Excel, PowerPoint, Outlook, and Teams.
  • Business Chat that works across your app and data and can be prompted in natural language to summarize documents, send emails, schedule meetings, etc.
  • Copilot Pages that enable collaborative work on AI projects.
  • Copilot Studio to create custom AI agents and automate business processes.
  • The Copilot Dashboard to measure Microsoft 365 Copilot adoption and impact.
  • Enterprise-grade security, privacy, and compliance.

However, thereโ€™s a catch regarding both Microsoft 365 Copilot pricing plans.

To subscribe to any of them, you need a separate license for one of the qualifying Microsoft 365 plans, which include the following:

  • Microsoft 365โ€ฏApps for enterprise or Microsoft 365 Apps for business.
  • Microsoft 365 Business Basic, Business Standard, or Business Premium.
  • Microsoft 365 E3, E5, F1, or F3.ย
  • Office 365 E1, E3, E5, or F3.ย
  • Exchange Online Kiosk, Plan 1, or Plan 2.ย
  • OneDrive for Business Plan 1 or Plan 2.ย
  • SharePoint Online Plan 1 or Plan 2.ย ย
  • Teamsโ€ฏEssentials or Teams Enterprise.ย
  • A version of these plans that doesnโ€™t include Microsoft Teams.ย

This means that in addition to the Copilot subscription, youโ€™ll have to pay a subscription for one of Microsoft 365 licenses. As a result, the end costs might be too high for your liking.

Microsoft 365 Copilot for Enterprise

This plan is built for companies with more than 300 employees.

Essentially, this is the only difference between the Business and Enterprise plan since both have:

  1. The same pricing ($30 per user per month or $31.50 if billed monthly).
  2. The exact same feature suite.

Microsoft Copilot Studio

Copilot Studio is an end-to-end conversational AI platform that lets you create AI agents using natural language or an intuitive graphical interface.

With it, you can design, test, and deploy agents that suit your internal and external needs and goals.

These agents can be standalone or published in Microsoft 365 Copilot to further enhance and tailor them to your specific use case.

There are three ways to access Copilot Studio:

  1. Through a Microsoft 365 Copilot subscription that provides full access to Copilot Studio and its features.
  2. By buying a separate license with a fixed fee of $200 per month for 25,000 messages/month.
  3. By opting for its โ€œpay-as-you-goโ€ model, which lets you pay only for the agents youโ€™ve built and deployed across your apps (an Azure subscription is required for this option).

Copilot Studio has a free trial that lets you test its capabilities. Microsoft doesnโ€™t disclose the duration of the trial period, so itโ€™s best to contact its sales team for details.

Role-Based Copilot Agents

In addition to letting you build custom AI agents and offering several pre-built agents as part of the Studio Copilot and Microsoft 365 Copilot packages, Microsoft also has three separate role-based agents sold as standalone products.

These include:

  1. Microsoft 365 Copilot for Sales: $50.00/user/month ($52.50 when billed monthly but still requires an annual commitment) or $20/user/month if you already have a Microsoft 365 Copilot subscription.
  1. Microsoft 365 Copilot for Service: $50.00/user/month ($52.50 when billed monthly but still requires an annual commitment) or $20/user/month if you already have a Microsoft 365 Copilot subscription.
  1. Microsoft 365 Copilot for Finance: Hasnโ€™t been officially released yet but allows signing up for a preview.

Their names already imply their use cases, meaning that:

  • The Sales agent helps you handle various sales-related tasks by streamlining workflows, summarizing meetings, personalizing interactions with leads, automating CRM refreshment and enrichment, etc.
  • The Service agent helps you improve your customer service by suggesting replies, recommending further actions, etc.
  • The Finance agent lets you connect existing financial data with generative AI to surface insights and support strategic decision-making by automating data reconciliation, analyzing data, etc.

Microsoft Copilot Pricing Recap

So, letโ€™s look at the key takeaways of the Microsoft Copilot pricing structure:

  1. Its free version provides only limited access to Copilotโ€™s features (e.g., you canโ€™t use it in any of Microsoftโ€™s free online apps).
  2. Microsoft Copilot Pro is the only paid plan aimed at individual users. It can be used with Microsoftโ€™s free apps but not in the entire Microsoft 365 suite.
  3. Microsoft 365 Copilot plans have the most features and use cases. However, they are built for companies and require users to have a qualifying Microsoft 365 license to subscribe. This means that the total cost will be much higher than the $30/user/mo subscription fee.
  4. Microsoft Copilot Studio can be used as a standalone solution ($200/mo or pay-as-you-go) or as part of the Microsoft 365 Copilot without additional charges.
  5. Role-based Copilot Agents can be purchased as standalone products ($50/user/mo) or as an add-on to Microsoft 365 Copilot for an additional $20/user/mo.

Want a More Cost-Efficient and Versatile Solution?

While Microsoft Copilot and its many models are a powerful AI force, especially if youโ€™re a Microsoft user, the total costs of subscription and use might not be everyoneโ€™s cup of tea.

Moreover, its most powerful models are aimed at Microsoftโ€™s apps first and foremost, meaning that unless you are an existing Microsoft user, you probably wonโ€™t be able to make the most of its AI assistant.

If all this is too off-putting to you, donโ€™t worry!

Team-GPT might be the AI solution you need.

Team-GPT is an enterprise AI platform built to help teams of all sizes and industries:

  • Harness the full power of AI across their organization.
  • Enhance AI adoption.

So, what makes Team-GPT such a good alternative to Microsoft Copilot?

Letโ€™s find out!

Team-GPT Features

Team-GPT has several features that help teams fully implement AI to boost efficiency and productivity, including the following:

Feature #1: Lets You Use Various AI Models Simultaneously

Unlike most other AI platforms that force you to stick to a single AI model, Team-GPT lets your team use several AI models at once, depending on your needs, goals, preferences, etc.

Namely, Team-GPT integrates with a wide range of powerful LLMs, including ChatGPT, Claude, Gemini, LLaMa, and many more.

Allowing your team to switch between models within a single interface easily helps everyone unlock their optimal performance potential and get the best possible results.

Even better, if you have a bespoke AI model, you can also connect it with Team-GPT, provided youโ€™re on the Enterprise plan.

This flexibility will help your team fully tailor Team-GPTโ€™s AI engine to your specific requirements at all times.

Feature #2: Customizable AI Toolkit

In addition to being model-agnostic, Team-GPT provides a wide range of highly configurable AI tools that can be customized to perfectly fit your unique goals.

These tools include the following:

  • AI Pages lets your team create, edit, refine, summarize, and optimize any kind of content, from blogs to strategic plans and beyond.ย
  • Prompt library includes 100+ pre-built prompts and common use cases to help you kickstart AI implementation the optimal way. Moreover, you can save custom prompts your organization uses the most for quick access and navigation.
  • Personas are essentially AI agents optimized to handle specific tasks. For instance, you can use prompts to build expert personas or personas matching your ICP to get critical insights into a topic, personalize content for your target audience, and more.
  • Integration with DALL-E lets you generate stunning visuals within Team-GPTโ€™s interface.
  • File upload enables you to use Team-GPT to analyze, edit, or improve any text or image file by uploading it and instructing the engine what to do.

Feature #3: Real-Time Collaboration

If you want to unlock your teamโ€™s full potential, the first thing to do is enable them to collaborate on essential projects instead of having everyone work in silos.

Team-GPT lets you do precisely thatโ€”your whole team can work together in AI chats, with every member able to contribute adequately.

Of course, you decide which chats can be shared with whom and set up permissions.

Once thatโ€™s all set up, team members with appropriate permissions will be able to:

  • Prompt the chat.
  • Leave comments and reactions to othersโ€™ prompts, questions, and AIโ€™s outputs.
  • Use the fork chat option to test various results and scenarios without losing or messing up the initial chat.

This allows for a much more natural and free flow of ideas, skills, and expertise, helping you get optimal results every single time.

Finally, you can save and organize all important chats in folders for easier navigation, allowing your team to create a ready-made knowledge repository for all.

Feature #4: Military-Grade Security

Data privacy and security are always a concern when it comes to using AI more widely.

Having that in mind, our team made sure that Team-GPT provides bulletproof security to all our users, regardless of size, industry, and use case.

This means we guarantee military-grade security to all our users, including:

  • Data encryption
  • No training on your data
  • Detailed audit logs
  • Workspace administration

Harness the Full Power of AI with Team-GPT

If youโ€™re a Microsoft 365 user, Microsoft Copilot can help you make the most of Microsoftโ€™s suite of products by leveraging AI designed primarily for them.

However, even though Copilot can be used with other apps and for various purposes, its costs can easily add up, especially if you need access to its most powerful models and agents.

On the other hand, Team-GPT is a much more flexible platform that can be used and customized with equal success by teams from various industries, regardless of their essential tech stack.

Moreover, Team-GPTโ€™s integration with various AI models means youโ€™ll get access to more than one AI engine in its pricing packages without extra costs.
